How to make a group card for a coworker who is leaving
Start one online card, share a single sign link in your team’s Slack, Teams or email about a week before the last day, and send the card on their last afternoon. With Penround in ChatGPT, coworkers sign from any browser without an account, you approve every message, and the card arrives by email at the time you pick, in their time zone.
Step by step
- Start as soon as you know the date. Set signing to close a day before the last day, so you have time to read every message.
- Keep it a surprise. Share the link in a channel, thread or email the person isn’t on.
- Send one link with a short invite. Say who it is for, the deadline, and that a photo is welcome. ChatGPT can draft the invite for Slack, Teams or WhatsApp.
- Collect messages sent elsewhere. If people reply in a thread instead, paste their messages into the chat and they are added to the card.
- Remind once. One nudge the day before signing closes brings in most late signers.
- Approve and check names. Read every message before it goes on the card, and hide anything that doesn’t belong.
- Deliver it. Schedule the email for their last afternoon in their time zone, or send them the link yourself. If they would like something to keep, order the messages as a printed book.

When something else fits better
If the team wants GIFs, videos or a slideshow at the farewell party, an online board fits better. If everyone is in one office on the last day, a paper card still works.

Questions
How do I collect messages from coworkers for a farewell gift without them finding out?
Share the sign link where the person isn’t: a private channel, a thread without them, or a bcc email. Signers never see each other’s messages, and the person sees nothing until the card is delivered.
When should I send the link?
About a week before the last day, with signing closing a day before it. A short deadline gets more people to sign.
Can people who don’t use ChatGPT sign?
Yes. Only the organizer uses ChatGPT. Everyone else signs in a browser, with no account or app.
What if someone writes something inappropriate?
Nothing reaches the card without your approval. Automatic checks also hold flagged messages and photos for you to look at first.
Can I add messages people sent me in Slack?
Yes. Paste them into the chat and they are added to the card, with each person’s name.
